Privacy Policy

What personal information we collect, how we use it, who we share it with, and what rights you have over that data.

⚠️

This is a template pending legal review

This policy was drafted from SaaS-standard language and has not yet been reviewed by ManagePickleball’s attorney. It’s published in good faith as a starting point. If you need a fully-reviewed version for an enterprise procurement process, contact legal@managepickleball.com.

1. Who We Are

ManagePickleball, Inc. (“ManagePickleball,” “we,” “us,” or “our”) provides software-as-a-service tools for pickleball facility management. This Privacy Policy explains how we handle personal information collected through managepickleball.com, app.managepickleball.com, and related services (the “Services”).

This policy applies to two groups of people:

  • Customers - facility owners and their staff who have signed up for a ManagePickleball account.
  • End Users - the consumers who use a facility’s ManagePickleball-powered booking page to reserve courts, sign waivers, and pay for bookings.

For End User data, ManagePickleball acts as a data processor on behalf of the Customer, who is the data controller. That means the facility - not ManagePickleball - decides what personal information to collect, why, and how long to retain it. We provide the infrastructure.

2. Information We Collect

2.1 From Customers (facility accounts)

  • Account information - name, email address, password (hashed), phone number, timezone.
  • Business information - facility name, address, phone, website, business description, logo.
  • Payment information - billing address and payment method, processed and stored by Stripe. We do not store full card numbers on our servers.
  • Usage data - pages visited, features used, time spent, IP address, browser and device type. We use this to improve the product and troubleshoot problems.
  • Support communications - emails and messages you send to us.

2.2 From End Users (via a facility’s booking page)

  • Booking details - name, email, phone, court selection, date, time, add-ons, notes.
  • Waiver data - signed name, signature image, IP address at time of signing, and a timestamp.
  • Payment information - card details are processed by Stripe. Only the Stripe payment intent ID and the last 4 digits are stored on our servers.
  • Customer profile data - booking history, reward points balance, notes entered by facility staff.

3. How We Use Information

We use personal information for the following purposes:

  • Provide the Services - create accounts, process bookings, send confirmation emails, store waivers, process payments through Stripe, enable team collaboration.
  • Customer support - respond to questions, troubleshoot issues, and provide technical assistance.
  • Billing - charge subscription fees and process invoices.
  • Security - detect and prevent fraud, abuse, and unauthorized access.
  • Product improvement - analyze usage to improve features, performance, and user experience.
  • Legal compliance - comply with applicable laws, regulations, and lawful requests.

We do not sell personal information to third parties. We do not use End User data to train advertising systems or share it with advertisers.

4. Who We Share Information With

We share personal information only with the following categories of recipients:

  • Service providers - third-party vendors who process data on our behalf to provide the Services. Current providers include:
    • Supabase (database, authentication, file storage)
    • Stripe (payment processing)
    • Resend (transactional email delivery)
    • Twilio (SMS delivery, where enabled by the facility)
    • Vercel (application hosting)
    • Cloudflare (DNS and content delivery)
  • Facilities - when you (as an End User) book a court on a facility’s page, your information is shared with that facility. This is the point of the service - the facility needs your details to host you.
  • Legal and safety - if required by law, court order, or to protect the rights, property, or safety of ManagePickleball, our users, or the public.
  • Business transfers - if ManagePickleball is acquired, merged, or sells assets, personal information may be transferred as part of that transaction, subject to the same privacy commitments.

Text messages: Mobile phone numbers and text message opt-in data and consent are never shared with or sold to third parties or affiliates for their marketing or promotional purposes. They are shared only with the service provider that delivers the messages (Twilio) and with the facility you opted in with.

5. How Long We Keep Information

We keep personal information for as long as needed to provide the Services and comply with legal obligations:

  • Customer accounts - for the duration of your subscription plus 30 days after cancellation, after which we delete or anonymize the data (except records we’re required to retain for tax, accounting, or legal purposes).
  • Bookings and waivers - retained per the facility’s retention settings. Waivers are typically kept for several years because of injury claim statutes of limitations.
  • Payment records - retained for at least 7 years for tax and accounting purposes.
  • Usage logs - retained for up to 12 months for security and debugging.

6. Security

We use industry-standard measures to protect personal information, including:

  • Transport encryption (HTTPS) for all traffic between browsers and our servers.
  • Encryption at rest for databases and backups.
  • Row-level security policies so each facility only sees its own data.
  • Regular security reviews of dependencies and infrastructure.
  • Access controls that limit employee access to production data to only what is necessary.

No system is perfectly secure. If we become aware of a security incident that affects your personal information, we will notify you without undue delay in accordance with applicable law.

7. Your Rights

Depending on where you live, you may have rights over your personal information, including:

  • Access - request a copy of the personal information we hold about you.
  • Correction - ask us to correct information that’s inaccurate or out of date.
  • Deletion - ask us to delete your personal information, subject to legal or legitimate business reasons we might need to retain it.
  • Portability - receive a copy of your personal information in a structured, machine-readable format.
  • Objection or restriction - object to certain uses or ask us to restrict processing.
  • Withdraw consent - withdraw consent where we rely on it as the lawful basis for processing.

To exercise any of these rights, email privacy@managepickleball.com. If your personal information is held by a facility (you’re an End User), we’ll help route your request to the correct facility as the data controller.

You have the right to lodge a complaint with a data protection regulator if you believe we’ve violated your rights. For EU/EEA residents, contact your local supervisory authority. For UK residents, the Information Commissioner’s Office (ICO).

8. California Privacy (CCPA / CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know what personal information is collected, the right to delete it, the right to correct it, and the right to opt out of the sale or sharing of personal information.

ManagePickleball does not sell personal information and does not share personal information for cross-context behavioral advertising. You can exercise your rights by emailing privacy@managepickleball.com.

9. Children

The Services are not directed to children under 13 (or the applicable minimum age in your jurisdiction). If you believe a child has provided personal information through the Services, contact us at privacy@managepickleball.comand we’ll delete it. Facilities that accept bookings involving minors are responsible for obtaining appropriate parental consent under applicable law.

10. International Data Transfers

ManagePickleball is based in the United States, and personal information is processed on servers located primarily in the US. If you access the Services from outside the US, your information will be transferred to, stored, and processed in the US. Where applicable, we rely on Standard Contractual Clauses and similar transfer mechanisms to protect personal information transferred from the EU/EEA, UK, and Switzerland.

11. Cookies and Tracking

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Services are used. You can control cookies through your browser settings, though disabling them may affect core functionality like staying signed in.

We do not use third-party advertising cookies. Analytics cookies (if any) are configured to anonymize IP addresses and are never used to build advertising profiles.

12. Changes to This Policy

We may update this Privacy Policy from time to time. If we make a material change, we’ll notify you by email or through the dashboard before the change takes effect. The “Effective” date at the top of this page reflects the most recent update.
